Annual Charge Conference     

 
 
 
The deadline for churches to complete update of the AWF Conference database is December 15.
Please enter these positions first, with e-mail address if you can:  
  1. Annual Conference delegate(s) and alternate(s), and 
  2. Local Church positions listed on page one of your "Report of the Committee on Nominations."

Please detach the position code for persons who are no longer serving - especially for chairpersons and Annual Conference delegates and alternates.

Instructions:

A note from District Superintendent Jeremy Pridgeon:
"The packet is much smaller than last year and is meant to move the charge conference experience from one of form collecting to one of reflection about the mission and ministry of the church.  Don't forget to work with your leadership on identifying at least 3 quantifiable goals for the coming year of 2012.  Please refer to the Vital Congregations website for essential information about your congregation."

  1. Read and follow these instructions.
  2. Download here the 2011 schedule, instructional letter, and assessment forms. Some dates have changed, so please see our Calendars page for updated dates and times.
  3. Publicize your Charge Conference date to your congregation. 
  4. Distribute the documents and issue deadlines for the reports.
  5. Follow the Charge Conference Checklist (which is also the agenda).
  6. Print the reports double-sided if possible.  Be sure your church name is on each page.
  7. Put the forms in a large mailing envelope and be sure that the district office receives it at least one week prior to your charge conference meeting. Before sending it, compare what you're sending with what is required on the Checklist. If any item is missing please put a note at the top of the stack relaying that the report was not included and/or does not apply.

Reminders:

  • From the outset, inform those who will be doing reports to NOT STAPLE OR BIND ANY OF THE REPORTS. Paper clips are fine.
  • Put your church name and date on each page.
  • Our District is Pensacola and our Conference is Alabama-West Florida.
  • Church numbers are beside each listing in the District Directory, or login and go to "Church" tab.    

Charge Conference Forms:

To make the 2011 packet as simple as possible, some forms were dropped and some were changed. All information requested is either required by United Methodist Discipline and/or will be used throughout the year to aid in our work to further the Kingdom.  Please be attentive to the accurate and thorough completion of these documents and do not staple or bind them. If possible, please print the GCFA/General Church report forms double-sided.

FAQ ABOUT ONLINE REPORTING 
  • Complete online reporting by December 15.
  • What is "Online Reporting"?  In regard to charge conference, "online reporting" refers to logging into the Alabama-West Florida Conference database and updating the information shown for your local church. Your database page may also be referred to as the "Local Church Dashboard." No e-mailing is involved in the transmission of the information. This task is the responsibility of each local church, with limited exception. If you are unable to report online please notify the district office, (850) 434-0118.
  • How is this information used?  This database is shared by Conference, Episcopal, and District staff and is used for purposes of administration as well as communication. Accuracy is very important, and each office has a part in maintaining and using the database. Whether individuals in the database serve Local Church, District, or Conference positions, it is often the Local Church that has access to the most up-to-date contact information (especially e-mail addresses). You play a vital role in our connection! 
  • Where do I start?  Print out and follow these steps. You can click here to log in.
  • How do I get my user name and password? Contact the district office, (850) 434-0118.
ERROR MESSAGES?  If you are trying to update the leadership section of the database and get an error message after clicking <save>, please return to the previous page (click on the "back" arrow) and continue working. To see if the information "took," you may need to refresh the page or log out then log back in.
 
If you click <save>, most likely the information is indeed saved, even if an error message appeared. Please do not re-enter the same information unless you are sure that the first time did not work, as this may create multiple entries in the database. If you have mistakenly created multiple entries of the same information please contact the district office to have the duplicates deleted.
 
PROBLEMS WITH PDF DOWNLOADS?

  2. Perhaps you need to download the latest PDF Reader? There's a download button at the bottom of this page.
  3. Perhaps your computer is set to not allow pop-ups? Check your internet options.
  4. Perhaps you need to allow more time for downloading? If you have slow internet, the Nominations form, especially, may take a few moments to load.
  5. Are you saving it in pdf format?  When you do "save-as," be sure that ".pdf" is at the end of the file name.
  6. If you are trying to type onto a pdf and it won't let you, it may not be a problem with your computer. Some pdfs are not "writeable."
  7. Perhaps you can use an alternate format of the same form?
  8. If you have questions or need to have the forms mailed or e-mailed to you please contact the district office, (850) 434-0118.

WHERE DO I FIND INFORMATION ABOUT...?
  • Annual Financial Audit:  See Audit Guide page. There is no "official form."
